How You’ll Add Value
The Facilities Site Coordinator will supply an advanced level of support services to the Facilities and Biobank teams within the Resource Management group and help ensure smooth operations of the facility by performing a variety of highly responsible administrative and operational support functions varying in complexity. The Facilities Site Coordinator will interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality.
What You’ll Do
Manages assigned vendor relationships and coordinates facility maintenance and equipment servicing. Maintains the supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies. Ensure operation of equipment by calling for repairs, maintaining equipment inventories and escorting vendors Act as a backup to the receptionist when needed. Performs regular reviews of documents entered into the facility’s Computerized Maintenance Management System, Quality Management System, and Safety Data Sheet System. Maintains files, prepares, and transcribes correspondence, obtains appropriate signatures where necessary. Coordinates facility maintenance and equipment servicing. Ensures all outgoing and incoming communications are accurate, timely and appropriately distributed. Completes the management report for the Global Biobank Committee on a weekly basis. Acts as Biobank Sourcing contact for assigned supplies. Responsible for maintaining minimum inventory items of assigned supplies for Biobank team. Obtaining approved POs as necessary and ordering of assigned supplies for the Biobank team. Manage rent schedule for SRS to provide to Finance for payment Update SOPs, ERs, CAPAs, etc. Support quality audits
What You Will Bring
Required
- Associate’s Degree with at least 2 years of experience or High School equivalent with 3 years of experience
- Solid administrative skills to include, but not limited to: entering data and performing regular reviews of information and documents entered into various company systems, maintaining files, preparing reports, obtaining appropriate signatures when necessary; ensuring all outgoing and incoming communications are accurate, timely and appropriately distributed
- Experience preparing purchase requisitions and placing orders as necessary.
- Experience establishing and maintaining vendor relationships and coordinating facility maintenance and equipment servicing.
- Experience ordering department related supplies, obtaining PO approvals when necessary, maintaining minimum inventory items, tracking usage, and replenishing as necessary.
- Excellent interpersonal, organizational, and oral and written communication skills
- Efficient in Microsoft Office Suite
- Spreadsheet capabilities
- Strong analytical skills and attention to detail

- Professional attitude with a friendly and courteous demeanor
- Ability to effectively and efficiently handle multiple, simultaneous, and complex tasks and projects

Preferred
- Bachelor’s Degree with at least one year of experience in accounting
- Good understanding of the life sciences community
- Experience working with executives
